This Privacy Policy explains how Qubi360 collects, uses and protects personal data. We handle personal data in line with Ghana's Data Protection Act, 2012 (Act 843).
1. Who we are
Qubi360 provides gym management software. For data about gym members, the gym is the data controller and Qubi360 processes that data on the gym's behalf. For data about our own customers (gym owners and staff) and website visitors, Qubi360 is the controller.
2. What we collect
- Account details: name, email, phone number and gym details.
- Member records entered by gyms: names, contact details, membership, attendance and payment history, and anything else the gym chooses to record.
- Payment information: transaction references and amounts. Card and mobile-money details are handled by our payment partners (such as Paystack); we do not store full card numbers.
- Usage data: pages visited, device and browser information, and cookies.
- Messages you send us, including through our website chat and demo form.
3. How we use it
- To provide and secure the platform.
- To process payments and send receipts and reminders.
- To send service messages (for example, subscription reminders).
- To respond to demo requests and support questions.
- To improve the platform. We do not sell personal data.
4. Sharing
We share data only with providers who help us run the service — for example hosting, payment processing (Paystack), SMS and email delivery — under agreements that protect it, or where the law requires.
5. Offline data
If a gym uses offline mode, recent front-desk data is kept on that device's browser until it syncs. Gyms should protect devices used at the front desk.
6. Retention
We keep data for as long as the account is active and as needed to meet legal and accounting obligations. Gyms can ask us to delete their data when they close their account.
7. Security
We use encryption in transit, encrypted storage of sensitive keys, access controls and tenant isolation so one gym cannot see another gym's data.
8. Your rights
You can ask to access, correct or delete your personal data, or object to its use. Gym members should first contact their gym, which controls their data. We will help gyms respond to these requests.
9. Cookies
We use cookies to keep you signed in, remember preferences and understand how the site is used. You can control cookies in your browser.
10. Changes
We may update this policy. The date at the top shows when it last changed.
11. Contact
For privacy questions or requests, contact us through the details on our website.
